Responsibilities: Randstad is actively recruiting for a Technical Document Specialist. The ideal Paralegal needs to have previous experience working in a fast paced environment used to managing multiple demands, projects and tight deadlines. DUTIES & RESPONSIBILITIES: - Front Desk administration responsibilities include: o Managing the phone system, incoming and outgoing mail and fax o Working with vendors and IT for repair and replacement issues o Maintaining common areas, conference rooms and kitchens in a tidy manner o Inventory upkeep, as well as vendor arrangement to obtain discounts for volume services - Office Management responsibilities include: o Acting as main liaison between clients and principals o Calendar management using Outlook o Assisting with maintenance of the Intranet, Project Database, Print Audit and Newforma o Providing support to the Marketing Manager, when necessary. o Keeping track of registrations/memberships, conferences and annual donations - Financial responsibilities include: o Assisting with monthly billing and maintain petty cash and monthly reconciliation o Enter invoices for trade vendors and cash receipts, as well as review employee expenses/timesheets for approval o Making deposits into checking account via remote banking for immediate credit o Back up support in completion of renewal applications for business, general office and professional liability insurance and bank line of credit o Maintaining current Certificates of Insurances on projects and leased equipment Working hours: M - F (8:30am - 5:30pm) - Human Resources responsibilities includes: o Discussing employee benefits with new employees, provide enrollment forms and set up accounts for health insurance, life insurance, LTD and Long-term Care insurance o Assisting individual employee with benefit questions or issues o Maintaining vacation accrual worksheet to ensure that the firm's policies are adhered to QUALIFICATIONS: - Bachelor's Degree is required for position. - At least 3 years of Office Management experience - Financial experience is preferred - Microsoft Office Suite proficiency is required - Must have excellent written and verbal communication skills - Polished and professional demeanor at all times. The ideal Executive Assistant needs to have at least 5 to 8 years of Executive administrative experience having worked autonomously supporting a C-level executive as well as intermediate to advanced MS Office Skills.
